Customers and locations

Use Customers to keep contact information, service locations, notes, work history, and account activity together. Start here when you need to create a record, find an existing customer, or understand how customer information connects to booking and completed work.

Before you begin

You need access to the Customers workspace. Some maintenance actions, such as importing, merging, archiving, or removing records, may be limited by your role. Before creating someone new, search by name, phone number, email address, and service address so the same customer is not added twice.

Open Customers and choose a guide

  1. In the main navigation, click Customers.
  2. Use Search customers..., Status, Type, and Sort By to narrow the directory.
  3. Click a customer name or open Actions and choose View to review the full record.
  4. Choose the guide below for the task you need to complete.

Create and maintain customer information

Review the complete customer story

  1. Open the customer record.
  2. Confirm the contact details and preferred service location.
  3. Review notes and tags for context that office and field team members should know.
  4. Open the appropriate tab for jobs, estimates, invoices, equipment, memberships, forms, or files.
  5. Use customer relationships and history to understand how those records connect.

The customer record brings current details and related work into one workspace.

What happens next

Accurate customer and location information becomes available during New Job booking, on job records, and throughout customer communications. Continue with the directory guide when you need to search or filter, or open the record guide when you need the full account history.

Troubleshooting

The customer is missing from the directory

Clear the search and return Status and Type to their All choices. Search again using a different contact detail or the service address. If the record was archived, ask a user with maintenance access to restore it.

Two records appear to be the same customer

Open both records and compare their locations and history before changing anything. Follow the merge steps in Edit, archive, remove, or merge customers so completed work stays connected to the correct record.

An action is not available

Your role may not allow imports, merges, archives, or removals. Ask a manager to complete the maintenance action or update your access.
