Book a new job

Use New Job to turn a customer request into scheduled work. The booking workspace keeps customer and location selection, work details, scheduling, custom fields, lead context, and the final outcome together.

Common uses

  • Book a customer request during a call or message conversation.
  • Review availability and create a scheduled job with the right classification.

Before you begin

Have the customer’s contact information, service address, requested work, preferred date, and lead source ready. Your company should already have active Business Units, Job Types, campaigns, and any required custom fields.

Open New Job

  1. Open Operations in the main navigation.
  2. Select New Job.
  3. Keep the Quick Actions area visible while you complete required details.

The available outcome buttons update as the required booking information is completed.

Select the customer and location

  1. Use customer search to find the customer by name, phone number, email, or address.
  2. Select the correct customer.
  3. Select the location where the work will be performed.
  4. If either record is missing, use New Customer or Add Location and save it before continuing.
  5. Confirm the displayed contact and address belong to the same request.

Enter the job details

  1. Select the responsible Business Unit.
  2. Select Job Type. The list is based on the chosen business unit.
  3. Select the Marketing Campaign that brought in the request.
  4. Set Priority when the request is low priority, high priority, urgent, or an emergency.
  5. Complete any required Custom Fields.
  6. Add lead information or notes when the office needs qualification context.

Schedule the visit

  1. Select Start Date.
  2. Choose the customer-facing Arrival Window.
  3. Set the planned Start Time.
  4. Select Get availability to review suitable scheduling options.
  5. Choose Assign technicians... when you know who should perform the work.
  6. Review confirmation, signature, tag, and other additional settings.

Use the availability recommendations to compare the requested window with working shifts and existing commitments.

Book the job

  1. Review the customer, location, business unit, job type, campaign, and schedule.
  2. Select Book Job.
  3. Wait for the new job to open.
  4. Confirm the appointment and assignment in the job workspace.

If the customer is not ready to schedule, use the lead or estimate outcome described in Schedule and finish a booking.

What happens next

The job appears in Jobs and on the appropriate dispatch date. Its customer and location histories update, and the scheduled appointment is ready for assignment or dispatch.

Troubleshooting

Book Job is unavailable

Complete the customer, location, business unit, job type, campaign, date, and every required custom field. Review any highlighted section.

Job Type is unavailable or missing

Select Business Unit first. If the job type still does not appear, ask a manager to confirm it is active and connected to that business unit.

No availability appears

Confirm the service date, business unit, job type, location, and active staff shifts. You can still review scheduling with a dispatcher when the requested time needs manual placement.
