Book a new job

Book a customer request with the work details and schedule your office and field teams need.

Before you begin

Have this information ready:

  • customer name and contact information;
  • service address;
  • business unit and job type;
  • campaign that brought in the request;
  • preferred date and arrival window; and
  • technician assignment, when known.

Open New Job

Click New Job in the main navigation.

The center column collects the job details. The Actions panel on the right shows which outcomes are available as the form is completed.

1. Select or create the customer

  1. Click Search customers....
  2. Enter a name, phone number, email address, or address.
  3. Choose the correct customer.
  4. If the customer does not exist, click New Customer.

A customer created here is selected automatically when the panel closes.

2. Choose the service location

After you select a customer, choose the location where the work will happen.

If the correct location is missing:

  1. Click Add Location.
  2. Enter a clear location name and address.
  3. Add location-specific contact information when needed.
  4. Click Add Location.

3. Enter job details

  1. Choose the Business Unit responsible for the work.
  2. Choose the Job Type.
  3. Choose the Marketing Campaign that brought in the request.
  4. Change Priority when the job is low priority, high priority, or an emergency.
  5. Complete any custom fields your company uses.

Job Type stays unavailable until a business unit is selected. This keeps the job-type list limited to work that unit performs.

4. Add lead information when needed

Open Lead Information to save a summary, notes, status, source, or estimated value. Use this section when the request still needs follow-up or qualification.

5. Schedule the appointment

  1. Choose the Start Date.
  2. Choose the customer-facing Arrival Window.
  3. Set the planned Start Time.
  4. Click Assign technicians... and choose one or more team members, when the assignment is known.
  5. Use Get availability after the location, business unit, and job type are selected to review scheduling options.

The arrival window tells the customer when to expect the technician. The start time is your team's planned work time.

6. Review additional settings

  • Leave Send confirmation email to customer on when the customer should receive the booking details.
  • Turn on Require customer signature when a signature is needed.
  • Add tags that help the team find or route the job.

7. Choose the outcome

The Actions panel offers three choices.

Book the job

Click Book Job when the date and work details are ready. The job is added to Jobs and appears on the schedule.

Save the request as a lead

Click Save as Lead when the opportunity should be kept but the customer is not ready to schedule.

Create an estimate

Click Create Estimate when the next step is a proposed scope and price rather than a booked appointment.

What happens next

Nexus opens the new job, lead, or estimate. For a booked job, review the customer, location, appointment, and assigned technicians before sending any additional confirmation.

Troubleshooting

Book Job is unavailable

Complete every required field: customer, location, business unit, job type, campaign, and start date.

Job Type is unavailable

Select a business unit first. If the expected job type still does not appear, confirm it is active and connected to that unit.

No locations appear

Confirm the correct customer is selected. Add a new location when the work address has not been saved yet.
