Inventory overview

Purpose and common uses

Inventory tracks what your company owns, where it is stored, what is reserved for upcoming work, and what needs to be reordered. Use the Inventory workspace to connect stock to Pricebook, maintain warehouse and truck quantities, receive purchases, and investigate changes.

Before you begin

You need Inventory access. Create the applicable Pricebook materials or equipment, then confirm the warehouses and trucks your team uses.

Open Inventory and review stock

  1. Click Inventory in the main navigation.
  2. Open Inventory Items.
  3. Search by item name, SKU, or barcode.
  4. Use the category filter to focus the list.
  5. Compare On Hand, Available, Pending, and Committed quantities.
  6. Open an item to review its Pricebook link, reorder settings, locations, and history.

Available quantity accounts for stock that is already pending or committed to work.

Follow the inventory lifecycle

  1. Create and link the inventory item.
  2. Add warehouses and trucks where stock is stored.
  3. Allocate stock to upcoming work or adjust a confirmed count.
  4. Replenish low stock through the purchasing workflow.
  5. Receive the purchase order into the correct location.
  6. Review the audit trail when you need to explain a quantity change.

Allocations connect stock demand to work without changing the physical on-hand count until the item is used or adjusted.

Choose the right quantity

  • On Hand is the physical quantity recorded at inventory locations.
  • Available is the quantity not already reserved.
  • Pending identifies demand that has not reached its final committed state.
  • Committed identifies stock reserved for connected work.

Open the item or audit trail before making an adjustment when the numbers do not match what you expect.

What happens next

Linked inventory can support job costing, replenishment, purchase-order receiving, warehouse transfers, truck stock, and availability decisions. Each receipt, allocation, and adjustment becomes part of the item’s history.

Troubleshooting

A Pricebook item cannot be linked

Confirm the material or equipment is active in Pricebook, choose the matching link type, and search by its exact name or code.

Available stock is lower than On Hand

Review Allocations for pending or committed quantities. Release only allocations that are no longer needed for their connected work.

A receipt or adjustment appears in the wrong location

Open the audit trail to confirm the transaction and location. Correct the quantity with a documented adjustment or transfer rather than editing unrelated records.
