Add customer and location notes and tags

Use notes for internal context and tags for consistent labels that help the team recognize and organize customers or locations.
Common uses
- Record access instructions, preferences, or call context.
- Label a customer by relationship or service need.
- Add a site-specific tag without changing every location.
- Give the office team context before creating new work.
Before you begin
Decide whether the information belongs to the whole customer or only one location. Do not place sensitive payment details or other information your team should not store in a note.
Open notes and tags
Go to Customers and open the customer. Customer-level notes and tags are on the customer record; location-level notes and tags are available after you open a site in Locations.
Add a customer note
- Go to Customers and open the customer.
- Scroll to Notes.
- Click Add Note.
- Enter the note in New Note.
- Click Save.
- Confirm the note shows its author and time.
Customer notes apply to the relationship as a whole.
Update customer or location tags
- On the customer record, click the edit icon beside the customer name.
- In Customer Details, find Tags.
- Add or remove the appropriate labels.
- Click Save Changes.
- For a site-specific tag, open the location and click its edit icon instead.
- In Location Details, update Location Tags and click Save Changes.
Use a consistent spelling for each tag so lists and reports stay useful.
Add a location note
- Open the customer’s Locations section and select the site.
- Scroll to the location notes card.
- Click Add Note, enter the site-specific information, and click Save.

What happens next
Notes appear in chronological context on the record. Tags appear in the customer or location summary and can help staff identify the right record during later work.
Troubleshooting
Save is unavailable for a note
Enter at least one non-space character. If the control remains unavailable, confirm you can update the record.
A tag is duplicated
Edit the record, remove the alternate spelling, and keep the standard tag your team uses.
A note was added to the wrong level
Copy the useful text into the correct customer or location record. Add a clarification so staff do not rely on the misplaced context.
