Use the Projects workspace

Projects bring multi-stage work into one workspace. Use a project when several jobs, estimates, invoices, appointments, tasks, or purchase orders belong to the same customer outcome and need to be reviewed together.

Before you begin

Create the customer and service location first. You also need Projects access. To add team members while creating the project, make sure their staff records are active.

Open and review Projects

Go to Projects in the main navigation.

  1. Review the Open Projects, Completed, Cancelled, and Filtered Results totals.
  2. Use Search projects to find a project by name, customer, or location.
  3. Choose a status such as Open Projects, Active, On Hold, or Completed.
  4. Filter by Owner when you need a specific manager's work.
  5. Choose a date under Date Field, then enter a from and to date.
  6. Click a project name in the Project List to open it.

Use the status, owner, and date filters together to focus the project list.

Create a project

  1. From Projects, click New Project.
  2. Enter a clear Project Name that staff and customers will recognize.
  3. Search for and select the Customer.
  4. Select the customer's Location.
  5. Add a Description with the overall scope or objective.
  6. Choose a Target Completion Date when the work has a planned finish.
  7. Select the staff members who should see and help manage the project.
  8. Click Create Project.

The project opens on its Dashboard. From the project navigation, you can move to Contract, Phases, Jobs, Invoices, Progress Billing, Estimates, Tasks, Communications, Technicians, Appointments, Purchase Orders, Attachments, and Forms.

A project must be attached to one customer and one service location when it is created.

Review a project

  1. Open the project.
  2. Start on Dashboard for customer, schedule, progress, and financial context.
  3. Open Jobs, Estimates, or Invoices to review the records already attached to the project.
  4. Open Technicians and Appointments to review who is doing the work and when.
  5. Use Tasks, Communications, Attachments, and Forms to keep supporting work with the project.
  6. Click All Projects to return to the project list.

Use contracts and phases when the scope needs a structured plan. Use project billing to review estimates, invoices, purchase orders, and progress billing together.

What happens next

The new project becomes the shared location for its customer-facing, field, and financial records. Staff selected during creation can open the project, and records attached later appear in the matching project section.

Troubleshooting

Enter at least two characters, then wait for the search results. If the customer is still missing, clear the search and confirm the customer is active in the Customer Directory.

The Location list is empty

Select the customer before opening Location. If no location is available, add a service location, then reopen New Project.

A staff member cannot see the project

Open Technicians and review the project team. Also confirm the staff member is active and has Projects access in roles and permissions.
