Find and review an invoice

Purpose and common uses
The invoice detail page keeps billing information, customer context, items, payments, status, notes, and quick actions together. Review it before sending, recording payment, applying a credit, or changing its status.
Before you begin
You need access to the invoice and related customer or job. Confirm the work, customer, and service location are correct before editing financial details.
Find an invoice
Use either path:
- Click Accounting, then Invoices, filter or search the list, and open the invoice number.
- Click Jobs, open the job, select Invoices, and open the invoice.
Open the invoice number after confirming the customer, job, status, and total.
Review invoice details
- Confirm Invoice #, created date, and the status badge.
- Review Customer Information and the service location.
- In Invoice Details, check Invoice Date, Due Date, Payment Terms, and PO Number.
- Review the Description and Notes.
- Review Line Items and the totals for subtotal, discounts, cost, profit, tax, interest, paid amount, and balance due.
- Review Payment Summary and expand Payment History.
- Review Activity for invoice changes and delivery events.
- Use Related links to open the connected customer, job, estimate, or project.
The invoice page separates document details, billable items, and payment activity for a complete review.
Use the three-dot menu for Edit Invoice, Preview, Download PDF, Download Worksheet, Send Invoice, or Get Signature. Change payment terms with the edit control in Invoice Details and click Save.
What happens next
After the review, add or correct line items and tax, then preview and send the invoice. Record payment only after confirming the amount and method.
Troubleshooting
An invoice does not appear under the job
Confirm the invoice is connected to that job. Search for the invoice from Accounting → Invoices or Advanced Search.
Invoice details show the wrong customer
Stop before sending or recording payment. Use Edit Invoice to review Customer Info, or correct the related job and recreate the invoice when required.
Payment Terms show the wrong value
Click the edit control beside Payment Terms, select the correct term, and click Save. Verify the due date afterward.
