Manage your Nexus team

Team setup controls who can sign in, which workspaces they can use, and where technicians appear for scheduling. Use Staff Management to invite people, create accounts, maintain profiles, and keep former staff out of active lists.
Before you begin
Go to Business Units and confirm the units new staff should join. Decide whether the person is Office staff, a Technician, or both, and which role they need.
Open Staff Management
Go to Settings → People → Staff.
- Use Search staff members... to find a person by name or email.
- Choose Active Only or Inactive Only to narrow by status.
- Use All Types, Office Staff, or Technicians to narrow by staff type.
- Open the three-dot Actions menu for a staff member to edit, review permissions, help with sign-in, or change status.
Search by email before adding a staff member to prevent duplicate profiles.
Invite a staff member
- Click Send Invitation.
- Enter First Name, Last Name, and Email.
- Choose the Staff Type.
- Choose the Role.
- Select a Business Unit when the person should begin with an assignment.
- Click Send Invitation.
The invitation stays pending until the person accepts it. Use Resend Invitation when they need a fresh email or Cancel Invitation when they should no longer join.
Create an account manually
- Click Create Manually.
- Enter the staff member's name and email.
- Choose Office or Technician under Staff Type.
- Choose a Role and optional Business Unit.
- Enter and confirm a temporary password that meets the displayed requirements.
- Click Create Account.
- Share sign-in details through a secure channel and ask the staff member to change the password.
The available roles change when you switch the staff type.
Edit a staff member
- Find the staff member and open the three-dot Actions menu.
- Select Edit staff.
- Use Basic Information for contact details, staff type, active status, and dispatch availability.
- Use Roles & Permissions to review the person's role.
- Use Business Unit Assignments to choose their units and primary unit.
- Use Technician Details for specialties, certifications, and service areas when applicable.
- Use Security for the sign-in actions available to your role.
- Click Update Staff Member.
Use inactive status when someone may return or their historical work should remain easy to understand. Delete only when the on-screen warning matches your intent.
What happens next
Active staff become available in the workspaces allowed by their role. Technicians can appear in booking, shifts, dispatch, appointments, project assignments, time tracking, and payroll after the corresponding setup is complete.
Continue with roles and permissions and business unit assignments.
Troubleshooting
The expected role does not appear
Confirm the selected Staff Type. Office and technician staff have different role choices. If the role is still missing, review Role Permissions Management.
A technician cannot be assigned to work
Edit the staff profile. Confirm the person is active, includes the Technician type, has Available for Dispatch enabled, and belongs to the needed business unit.
The email is already in use
Cancel the form and search the staff list by email. Edit, reactivate, or send sign-in help to the existing profile instead of creating another.
