Edit, remove, and merge customer records

Maintain customer records carefully so staff can trust the customer, location, and work history they see throughout Nexus.
Common uses
- Correct a customer’s name, company, address, contact details, type, or status.
- Remove a record that should no longer be used.
- Combine duplicate customers while keeping the correct primary record.
Before you begin
Confirm you opened the correct customer and have the required edit, delete, or settings permission. Review both records completely before a merge. Deleting or merging a record cannot be treated like a routine text correction.
Open customer maintenance
- To edit or remove one customer, go to Customers and open that customer’s record.
- To review duplicates, go to Settings → Core Data → Merge Customers & Locations.
Edit a customer
- Go to Customers and open the customer.
- Click the edit icon beside the customer’s name.
- In Edit Customer, update the appropriate fields.
- Check phone numbers, email addresses, billing information, customer type, and status.
- Save the changes.
- Reopen the record and confirm the header and primary location show the intended information.
Edit the customer for customer-level details; open a location to change site-specific details.
Remove a customer
- Open the customer record.
- Review locations, jobs, estimates, invoices, and memberships to confirm it is the correct record.
- Click Delete.
- Read the Delete Customer message.
- Click Delete Customer only when the record should be permanently removed.
For several records, select them in Customers and click Delete Selected. Review the selected count before confirming.
Merge confirmed duplicates
- Go to Settings.
- Under Core Data, open Merge Customers & Locations.
- Under Merge Duplicate Customers, click Audit Customers.
- Find a matching-address group and click Review.
- Compare customer, contact, company, revenue, and last-updated details.
- Choose Customer to Keep.
- Choose a different Customer to Remove.
- Click Merge Selected Customers.
- Wait for the merge-complete message and review the updated reference counts.
Keep the most complete, current record. The removed record cannot be selected as the kept record.
What happens next
Edits appear on the customer record. A completed merge keeps one customer and moves supported related work to that record. Search Customers again and review the kept customer’s locations and histories.
Troubleshooting
The edit or delete control is missing
Your role does not have that action. Ask an administrator to review your customer permissions.
No duplicate groups appear
The audit matches records using their saved addresses. Correct clearly incomplete addresses first, then run Audit Customers again.
The wrong records are selected for a merge
Click Clear Selection before merging, choose Review on the correct group, and compare the customer details again.
