Get started with Nexus

Set up the people, work types, and scheduling choices your team needs before you book its first job.

Before you begin

You need permission to manage company settings. It also helps to gather:

  • the names and email addresses of your office staff and technicians;
  • the trades or departments you want to report on separately;
  • your most common types of work and their typical duration;
  • the arrival windows you offer customers; and
  • the company phone numbers your team plans to use.

Find Settings

  1. Sign in to Nexus.
  2. Click the Settings button in the top-right corner.
  3. Use Search settings... or open a section in the left rail.

Settings are grouped by the part of the business they control. Search is the fastest way to find a page when you already know its name.

1. Confirm your company profile

Go to Settings → Your Account → Company Profile. Confirm the business name, contact information, address, and branding customers should see.

2. Create business units

Go to Settings → Core Data → Business Units. Create a unit for each team, trade, or division that needs separate scheduling, reporting, or branding.

3. Add your team

Go to Settings → People → Staff. Add office staff and technicians, then assign the roles, business units, and technician details each person needs.

4. Create job types

Go to Settings → Core Data → Job Types. Add the work your company performs and set an expected duration for each type.

5. Review arrival windows

Go to Settings → Core Data → Arrival Windows. Add the time ranges your office gives customers, such as 8:00 AM–10:00 AM.

An arrival window tells the customer when to expect the technician. It does not have to match the technician's planned start time.

6. Set up communications

Go to Settings → Communications to review customer notifications and Nexus Phone Service. Choose which updates customers receive and how calls reach the right person or department.

7. Book a test job

Use a clearly labeled test customer so your team can recognize the record.

  1. Click New Job in the main navigation.
  2. Select or create the test customer.
  3. Select a service location.
  4. Choose a business unit, job type, and marketing campaign.
  5. Choose a date and arrival window.
  6. Assign a technician if you are ready to place the work on a schedule.
  7. Click Book Job.

What happens next

The booked job appears in Jobs and on the Dispatch Board. Open the job to confirm the customer, location, appointment, and assigned technician.

Troubleshooting

A job type is not available

Confirm the job type is active and associated with the business unit selected on the job.

A team member cannot see a page

Review that person's role and permissions in Settings → People → Staff.

Book Job is unavailable

Return to the job form and complete every field marked with an asterisk. A customer, location, business unit, job type, campaign, and date are required.
