Find and organize customers

Use Customers to find a customer quickly, review the health of the customer list, and open the right record before taking action.

Common uses

  • Look up a caller by name, email, phone, company, or customer number.
  • Show only active, inactive, or lead records.
  • Separate customer records by the visible customer-type choices.
  • Select several records for a shared list action.

Before you begin

You need permission to view customers. The page shows only customer records available to your account.

Open the customer directory

Go to Customers in the main navigation.

The directory combines customer totals, filters, and the customer table in one workspace.

Find and sort customers

  1. Enter a name, email, phone number, company, or customer number in Search customers....
  2. Use Status to choose All Status, Active, Inactive, or Lead.
  3. Use Type to choose the customer type that matches the record.
  4. Use Sort By to change the order.
  5. Change Page size when you want to review more rows at once.
  6. Click a customer name or the row’s view action to open the record.

Search and filters work together; clear one or more controls to broaden the results.

To add many records, use Import customers. To add one, click New Customer and follow Create a customer.

Work with selected records

  1. Select the checkbox beside each record.
  2. Review the selected count below the filters.
  3. Click Delete Selected only after confirming every selected customer is meant to be removed.
  4. Use the clear-selection control to start over without changing records.

What happens next

Opening a customer shows locations, work and financial history, memberships, equipment, tags, settings, and notes. See Understand a customer record.

Troubleshooting

No customers are found

Clear Status and Type, remove the search text, and try again. Search with only part of a name or phone number when the exact spelling is uncertain.

A customer appears more than once

Compare the contact details and addresses before making changes. If the records represent the same customer, use Manage customer records and duplicates.

The list shows fewer customers than expected

Move to the next page or increase Page size. Also confirm a status or type filter is not still selected.
