Use Accounting in Nexus

Accounting brings invoice review, receivables, vendor bills, sales tax, and account structure into one workspace. Basic mode focuses on the essential review flow. Advanced mode adds broader transaction, journal, banking, expense, payment, recurring, and financial-report tools when enabled.
Before you begin
Accounting changes can affect financial reporting. Restrict access to authorized staff, set up the Chart of Accounts, and agree on review periods and responsibilities with your accounting professional.
Open and navigate Accounting
Go to Accounting in the main navigation.
Basic mode includes:
- Dashboard
- Invoices
- A/R & Collections
- Vendor Bills
- Sales Tax
- Chart
Advanced mode can also include Transactions, Reports, Expenses, Credits & Refunds, Check Writing, Vendors, Vendor Payments, Journal, Banking, Recovery, Recurring, and Payroll.
The available sections depend on the company's Accounting mode and your access.
Review the dashboard
- Open Dashboard.
- Choose Year to Date, Month to Date, Quarter to Date, Last 12 Months, or a custom period.
- Review revenue, receivables, payables, cash, or other measures shown.
- Note warnings or items that need review.
- Open the corresponding Accounting section.
Review invoices and receivables
- Open Invoices.
- Select the date preset or review period.
- Filter by business unit, job type, technician, invoice status, or accounting status.
- Review Review Needed, Draft, Sent, Unpaid, Overdue, Paid, Verified, or other available status groups.
- Open an invoice for detail.
- Resolve the issue in the invoice review and A/R workflow.
- Verify or continue the approved Accounting action shown for the invoice.
- Open A/R & Collections to review customer balances, aging, statements, and collection activity.
Use the same review period and filters when comparing Accounting totals with another report.
Review vendor bills and sales tax
- Open Vendor Bills to review amount, due date, status, and vendor details.
- Use Vendor Bills to enter or update approved bills.
- Open Sales Tax.
- Review Liability Review, Jurisdictions, Tax Rates, Tax Returns, Transactions, and Reports.
- Follow the Sales Tax review process before changing a rate or return.
Use Advanced Accounting
When Advanced Accounting is enabled:
- Open the section needed for the task.
- Confirm the date range and account.
- Review the source document or transaction before posting a change.
- Use notes and references that make the purpose clear.
- Confirm totals and status after saving.
- Run the appropriate financial report.
Journal entries, banking, check writing, recovery, and recurring transactions should follow your company's approved accounting controls.
What happens next
Reviewed Accounting records support receivables, payables, tax, and financial reporting. Use the Reporting library for operational reports, and Accounting reports for the financial views available in the selected mode.
Troubleshooting
An Accounting section is missing
Confirm your Accounting mode and role. Some sections require Advanced Accounting or a more limited administrator-approved permission.
An invoice cannot be verified
Open the invoice and resolve required customer, date, amount, tax, job-cost, or review-period issues. Refresh Accounting and try again.
Totals do not match another report
Compare Accounting mode, accounting basis, date range, review period, status, and business unit filters. Confirm both views were refreshed after the latest changes.
