Dispatch and scheduling overview

Purpose and common uses

Dispatch brings appointments, technician availability, locations, and routes into one workspace. Use it to review the day, place unassigned work, respond to schedule changes, and choose the clearest view for the decision you need to make.

Before you begin

You need access to Dispatch and the jobs you manage. Keep staff shifts, appointment dates, expected durations, business-unit assignments, and service locations current so availability and routing are useful.

Open Dispatch and choose a view

  1. Open Operations → Dispatch.
  2. Choose the date you want to review.
  3. Select a business unit or leave all available teams selected.
  4. Choose Board, List, or Map.
  5. Clear search and status filters when you need the complete day.

The Board gives the clearest time-based view of technician workload and unassigned appointments.

Match the view to the task

  • Use Board to compare technician timelines and place work by time.
  • Use List to review technician columns across a day, week, or month.
  • Use Map to compare customer locations, technician positions, and routes.
  • Use Shifts when a technician is missing or their available hours are incorrect.
  • Use Automated dispatch when your plan includes capacity recommendations or route optimization.

The same appointments stay connected across Board, List, and Map, so changing views does not create duplicate work.

Review the day before making changes

  1. Confirm the selected date and business units.
  2. Review Unassigned Jobs and appointments without technicians.
  3. Look for overlapping appointments or open space on each technician’s timeline.
  4. Open a job or appointment to confirm its job type, location, duration, and status.
  5. Follow Assign and route work to place the appointment.
  6. Follow Reschedule a job when the customer needs a different time.

What happens next

Assignments, appointment times, and status changes appear on the connected job and across all Dispatch views. Route and capacity tools use the same current appointment and shift details.

Troubleshooting

A technician or appointment is missing

Clear filters, return to the correct date, and confirm the technician is active and assigned to the selected business unit. Check that the appointment has a date and that the technician has a shift.

A route or capacity recommendation is not useful

Confirm service locations, appointment durations, shifts, and technician assignments are complete. Review the appointment manually before accepting any recommended change.

The three views show different counts

Clear each view’s search, status, and business-unit filters. Map may also group nearby markers, so zoom in before comparing visible cards.
