Build and save a custom report

Report Builder lets you define exactly which records and columns a report uses. Start from a template for a common question or choose New Custom Report when you know the dataset and fields you need.

Before you begin

Decide what one result row should represent and choose that dataset. Write down the date range, columns, and people who will use the report.

Open Report Builder

Go to Reporting → New Custom Report, or open a template from the Reporting library.

  1. Review the current report title and dataset badge.
  2. Choose the Dataset.
  3. Enter a useful report title.
  4. Select the primary date field when the builder offers a choice.
  5. Enter the start and end dates.
  6. Use the field or business-question search to find useful columns and templates.

The dataset determines what each result row represents and which fields are available.

Choose columns and sorting

  1. Open the column picker above the results table.
  2. Search or browse the available fields.
  3. Select the columns the report needs.
  4. Remove columns that add noise.
  5. Reorder columns when the builder provides that control.
  6. Click a result-column heading to choose the primary sort.
  7. Choose ascending or descending order.

Use customer-facing labels where possible and keep the report narrow enough that someone can understand it without horizontal scrolling.

Run and review the report

  1. Click Run.
  2. Wait for the results table.
  3. Confirm the number of rows and date coverage.
  4. Spot-check several records against the source workspace.
  5. Review empty values and unexpected statuses.
  6. Adjust the dates, fields, or sorting.
  7. Click Run again.

Spot-check source records before using a new report for decisions or scheduled delivery.

Save the report

  1. In Report Notes, confirm the title.
  2. Describe what the report tracks and who it is for.
  3. Click Save Report.
  4. Wait for the saved-report page to open.
  5. Run it once more to confirm the saved definition.

Use a name that includes the question or audience, such as “Weekly Open Jobs by Business Unit.”

Update a saved report

  1. Open Reporting → Saved.
  2. Select the report.
  3. Change the dataset, dates, columns, sorting, title, or notes.
  4. Click Run and review the new results.
  5. Click Save Report.
  6. Review any scheduled delivery that uses the report.

What happens next

The saved report appears under Saved and can be run with current information, exported to CSV or XLSX, and used for scheduled delivery.

Troubleshooting

Run returns no rows

Expand the date range, confirm the date field, and remove restrictive choices. Verify the dataset contains records for that period.

A field is not available

Confirm the dataset. Search by the visible field name or related business term. If the field belongs to another primary record, use that dataset instead.

Save Report is unavailable

Enter a report title and resolve any builder warning. Run the report, then try saving again.
