Create and manage Automations

Automations perform repeatable work after a defined event. Each automation begins with a trigger and continues through one or more actions. Use clear names, narrow conditions, controlled connections, and test runs before publishing.

Before you begin

Automations may depend on your company's plan. Define the exact event, conditions, action, record owner, and recovery process. Use a demo record when testing could create customer-facing work.

Open and find Automations

Go to Automations in the main navigation.

  1. Review the automation list.
  2. Search by Flow name.
  3. Filter by Status, Connection, or folder.
  4. Open an automation to review it.
  5. Use the row actions for duplicate, move, enable, disable, or delete choices that are available to your role.

Use folders and clear names to separate active customer workflows from drafts and tests.

Create an automation

  1. Click New Automation or the create action.
  2. Enter a name that describes the event and result.
  3. Choose a folder when your company uses them.
  4. Open the first step.
  5. Choose the Trigger.
  6. Select the Nexus area or approved third-party connection.
  7. Choose the trigger event.
  8. Complete every required field.
  9. Save the step.

Add an action

  1. Click the plus control below the trigger.
  2. Choose an Action.
  3. Select the Nexus area or approved third-party connection.
  4. Choose the action.
  5. Map the required fields using information from the trigger or prior steps.
  6. Add a condition before the action when it should not run for every record.
  7. Save the step.
  8. Repeat only when the workflow truly needs another action.

Build the smallest workflow that reliably produces the intended result.

Test the automation

  1. Open the trigger and load or provide a demo event.
  2. Test the trigger.
  3. Review the sample details.
  4. Open each action and test it in order.
  5. Confirm the expected demo record was created or updated.
  6. Review Runs for the result and step details.
  7. Correct field choices, conditions, or connections.
  8. Test again from the beginning.

Publish and monitor

  1. Review every step and connection.
  2. Confirm the automation name and folder.
  3. Click Publish or turn the automation on.
  4. Confirm the active status.
  5. Open Runs after the first real event.
  6. Review failed or incomplete runs and correct the automation.

Pause an automation before making a substantial change. Republish only after the new version passes a demo test.

What happens next

An active automation waits for its configured trigger, checks its conditions, and performs the saved actions. Run history records the result available to your role.

Troubleshooting

The trigger never starts

Confirm the automation is published, the trigger event occurred after publishing, and its connection is active. Review trigger conditions and a recent Run.

An action uses the wrong value

Open the action and review each mapped field. Use data from the correct trigger or earlier step, then run a fresh demo test.

A connection needs attention

Open the connection from the automation or Connections area, complete the reconnect steps, and test the affected action before turning the automation back on.
