Manage Knowledge Hub

Knowledge Hub is the staff reference library for company-approved guides, manuals, policies, and service information. Add a document once, categorize it, and choose which business units should use it.

Before you begin

Decide who owns each document and how often it should be reviewed. Remove customer personal information and confidential content that staff do not need. Create Business Units before limiting a document to specific teams.

Open and review Knowledge Hub

Go to Knowledge Hub in the main navigation.

  1. Review the Docs and Indexed totals.
  2. Review the Library.
  3. Check each document's name, category, business units, indexed status, upload date, and file details.
  4. Click Open original to verify a document.
  5. Use the business-unit assignments to understand who should see it.

Use clear file names and categories so staff can recognize the right reference.

Add knowledge

  1. In Add knowledge, click File and choose the approved document.
  2. Choose a Category such as General, Safety, Install Guides, Troubleshooting, Warranty, or Office SOPs.
  3. Enter Notes that explain when staff should use the file.
  4. Select the Business units that should use it.
  5. Leave all business units unselected only when the document should be available company-wide.
  6. Click Upload.
  7. Wait for Saved successfully.
  8. Find the document in Library and review its status.

Supported files are identified in the upload chooser. Use a searchable source document when possible and avoid password-protected files.

No business-unit selection means the document is available to all business units.

Update business-unit assignments

  1. Find the document in Library.
  2. Select or clear business units.
  3. Click Save assignment.
  4. Confirm the success message.
  5. Review the document row again.

Replace an outdated document

  1. Open the current original and confirm it should be replaced.
  2. Upload the approved new version with a clear name.
  3. Apply the same category and business-unit assignments.
  4. Open the new document and verify it.
  5. Delete the old version after confirming nothing else needs it.

Delete a document

  1. Find the document.
  2. Click Delete.
  3. Review the confirmation with the document name.
  4. Confirm deletion.

Delete access should be limited. Keep an approved company copy outside Knowledge Hub according to your document-retention process.

What happens next

The document becomes part of the staff reference library after it is ready. Assigned business units and authorized staff can use the current reference, and Galileo can use approved Knowledge Hub context when available.

Troubleshooting

Upload is unavailable

Confirm your role includes Add Knowledge Hub Documents access and a file is selected. Try a supported file with a simple name.

A document is not ready

Wait for the document's status to update, then refresh the page. If it remains incomplete, open the original to confirm the file is readable and upload a fresh copy.

Staff cannot find a document

Review the business-unit assignments and the staff member's unit. Confirm their role includes Knowledge Hub view access.
