Review the inventory audit trail

Purpose and common uses
The Audit Trail explains inventory quantity changes. Use it to reconcile counts, verify receiving, investigate adjustments, and identify the item and location affected.
Before you begin
Know the item, location, approximate date, quantity, or reference you are investigating. Keep the related purchase order, invoice, or count sheet available.
Navigate to the audit trail
- Click Inventory.
- Click Audit Trail.
- Review the most recent entries.
- Match the Item and Location.
- Read Quantity as a signed change: a plus adds stock and a minus removes stock.
- Review Reason and Reference.
- Compare Recorded with the delivery, count, or work date.
- Open the Inventory Item and compare its current on-hand quantity.
Each row records one quantity change at one inventory location.
Reconcile a difference
- Identify all entries for the item and location during the review period.
- Compare replenishments, purchase-order receipts, reservations, finalized allocations, and manual adjustments with the physical records.
- Check for a duplicate reference or an adjustment made at the wrong location.
- If the physical count is correct but Nexus is not, use Manual Adjustment for the difference.
- Choose the accurate reason and reference the count or original transaction.
- Return to Audit Trail and confirm the corrective row.
Correct inventory with a new documented entry instead of attempting to rewrite history.
What happens next
The corrective adjustment updates the item's location quantity and remains visible alongside the original activity.
Troubleshooting
The expected receipt is missing
Open the purchase order and confirm it was received into the intended location. A created or sent order does not increase stock.
A reference appears twice
Compare item, location, quantity, and recorded time. Reverse only the confirmed duplicate with a documented manual adjustment.
Current quantity still does not reconcile
Review pending allocations and truck stock, then perform a physical count by location before entering another adjustment.
