Replenish inventory

Purpose and common uses

Use Replenish to record stock received outside the purchase-order receiving workflow. This increases on-hand quantity at a selected warehouse or truck and records the source reference.

Before you begin

Confirm the physical delivery, Inventory Item, receiving location, quantity, and purchase order or invoice reference. If the stock came from a Nexus purchase order, use Receive Purchase Order so the order and inventory update together.

Find and replenish an item

  1. Click Inventory.
  2. On Inventory Items, search for the item.
  3. In the row's actions, click Replenish.
  4. In Replenish Inventory, confirm the item name and item number.
  5. Select Location.
  6. Review the location's current On Hand quantity.
  7. Enter Quantity Received.
  8. Enter Reference (PO #, Invoice #, etc.).
  9. Add optional Notes.
  10. Click Replenish.

Start from the correct inventory item so the received quantity goes to the intended record.

The reference connects the stock increase to its real-world delivery document.

What happens next

On-hand and available quantities increase at the selected location. The change appears on Audit Trail with the item, location, quantity, reason, reference, and recorded time.

Troubleshooting

No receiving location is available

Create and activate a warehouse, or create a truck assigned to a warehouse, then reopen the replenishment window.

The item increased by the wrong quantity

Use Manual Adjustment for the correction and explain the original replenishment reference in the notes.

Replenishment is duplicated

Review Audit Trail by item, location, reference, and time before adding another correction. Reverse only the duplicate quantity.
