Manage invoice collections

Purpose and common uses

Use A/R & Collections to understand outstanding balances, prioritize overdue customers, generate statements, record outreach, and track the next follow-up.

Before you begin

Confirm the invoices were sent, due dates and payment terms are correct, and prior payments, credits, refunds, or deposits are recorded.

  1. Click Accounting.
  2. In the Accounting sidebar, click A/R & Collections.
  3. Review Total Outstanding, Total Overdue, Collection Rate, and Avg Days Overdue.
  4. On Customer Overview, search the customer or filter by Active, Delinquent, or Inactive.
  5. Open A/R Aging to compare Current, 1–30 Days, 31–60 Days, 61–90 Days, and 90+ Days.

Use aging and total overdue to decide which balances need attention first.

Send a statement or log activity

  1. Select the customer.
  2. Click Generate Statement.
  3. Choose the statement date and delivery choice.
  4. Select whether to include the aging summary and payment reminders.
  5. Generate the statement.
  6. Open the Collections tab.
  7. Click the add-activity action.
  8. Choose Phone Call, Email, Letter, Meeting, or Payment Plan.
  9. Enter notes, outcome, priority, and follow-up date.
  10. Save the activity.

Record the result and next follow-up so another team member can continue the collection effort.

What happens next

Collection activity appears in the customer timeline. When payment arrives, record it on the invoice; the outstanding and aging totals update accordingly.

Troubleshooting

A paid invoice still appears overdue

Open the invoice and review Payment History, credits, deposits, balance, and status. Confirm the payment was applied to this invoice.

A customer is missing from A/R

Confirm the customer has an invoice with an outstanding balance and a valid due date. Clear Customer Overview filters.

Statement totals look wrong

Review the customer's open invoices and all payments or credits before generating the statement again.
