Review invoices and accounts receivable

Purpose and common uses
Use Accounting → Invoices for period-based invoice review and A/R & Collections for outstanding customer balances. These views help the accounting team confirm billing is complete before financial reporting.
Before you begin
Confirm invoice line items, costs, tax, status, payments, business unit, job type, and assigned technicians. Select the correct accounting review period.
Navigate to invoice review
- Click Accounting.
- In the Accounting sidebar, click Invoices.
- Select a Review period or Manual date range.
- Search by invoice, customer, job, business unit, or technician.
- Use the field selector and column filters to show the information needed for review.
- Open the invoice's action menu and choose the view or edit action.
- Confirm invoice date, due date, customer, job, job type, business unit, technician, subtotal, tax, total, payment, balance, invoice status, and accounting status.
- Correct the invoice or create a review task when information is missing.
- Click Mark Verified only after the invoice and job costs are complete.
Use the review period and accounting status to keep the close process organized.
Review accounts receivable
- In the Accounting sidebar, click A/R & Collections.
- Review total outstanding, total overdue, collection rate, and average days overdue.
- Open Customer Overview to find a customer.
- Open A/R Aging to review current, 1–30, 31–60, 61–90, and 90+ day balances.
- Generate a statement or open Collections to record outreach.
- Use Record Payment only after confirming the payment belongs to the selected customer and invoice.
A/R aging helps the team prioritize overdue balances by length of time outstanding.
What happens next
Verified invoices are ready for the next step in your company's accounting process. Recorded payments and credits reduce A/R and update collection totals.
Troubleshooting
Mark Verified is unavailable
Confirm the invoice is selected and complete. Resolve any visible cost or accounting review flag first.
A paid invoice remains in A/R
Open the invoice and confirm Payment History, Balance Due, status, and any unapplied deposit or credit.
The review period omits an invoice
Check the invoice's accounting date, review-period range, search, column filters, and invoice status.
