Coordinate project tasks, forms, and files

The project collaboration sections keep supporting work close to the project. Use them to review tasks, conversations, technicians, appointments, files, and forms across the jobs that make up a project.

Before you begin

Open an existing project. Team members need access to both the project and the related record they are expected to use.

Open the project and review tasks and responsibilities

Go to Projects → select a project → Tasks.

  1. Review the task name, status, owner, due date, and related record.
  2. Open a task to read its full description.
  3. Update the status as work begins or finishes.
  4. Confirm the owner and due date still match the project plan.
  5. Use the related record link to open the job, appointment, form, or other source when one is shown.
  6. Return to Tasks to review what remains.

Use task ownership and due dates to make the next project action clear.

Review communications

  1. Open Communications.
  2. Review customer and team messages connected to project work.
  3. Open a conversation to read the full history.
  4. Follow the related job or customer link when more context is needed.
  5. Continue the conversation from the appropriate Communications workspace when a reply action is not available in the project.

Check technicians and appointments

  1. Open Technicians to see team members connected to the project.
  2. Confirm each person is active and appropriate for the assigned work.
  3. Open Appointments to review the date, time, technician, and status for scheduled visits.
  4. Click an appointment or its job to make schedule changes.
  5. Use appointment management for assignment and rescheduling steps.

Add and review attachments

  1. Open Attachments.
  2. Click the upload or add action.
  3. Choose the file.
  4. Enter a useful file name or description when prompted.
  5. Confirm the upload.
  6. Open the file from the gallery or list to verify it is readable.

Keep customer-ready plans, photos, and signed documents clearly named. Do not upload files that belong only to an unrelated job or customer.

Attachments and forms remain with the project so office and field teams can find the same information.

Review forms

  1. Open Forms.
  2. Review the form name, related job or appointment, assigned person, and status.
  3. Open an incomplete form to continue it when your role allows.
  4. Review submitted information before using it for billing or project decisions.
  5. Follow the related record link for job-level details.

What happens next

Updates remain connected to the project and its related work. Project managers can review progress from Dashboard, then open project financials when completed tasks, forms, or appointments are ready to support billing.

Troubleshooting

A task, form, or appointment is missing

Clear the section filters and refresh the project. Open the related job to confirm the record is attached to the same project.

Confirm the person is on the project and has access to the related workspace. Review roles and permissions and staff assignments.

An attachment will not open

Refresh the page and try the file again. If it still fails, download a fresh copy from the source and upload it with a simple file name.
