Manage Pricebook vendors

Purpose and common uses

Vendor records hold the supplier contact and address information used on Pricebook items and purchase orders. Keep one active record per supplier so reporting and order history stay organized.

Before you begin

Have the vendor's legal or trading name, primary contact, email, phone, purchasing address, account reference, and payment terms ready.

  1. Click Pricebook.
  2. Click Vendors.
  3. Search by vendor name and use All Statuses to check active and archived records.
  4. Click Add Vendor.

Search archived records before creating a vendor that may already exist.

Create or edit a vendor

  1. Enter the vendor name and account or reference information.
  2. Add the primary contact name, email, and phone.
  3. Complete the street, city, region, postal code, and country fields.
  4. Add purchasing or payment details your team uses.
  5. Set the vendor to active.
  6. Save the record.
  7. Open the row action menu to review or edit the saved vendor.

A valid email is needed when your team sends purchase orders from Nexus.

Link the vendor from applicable materials and equipment. When creating a purchase order, selecting the vendor fills the saved contact and address details; review them before sending.

What happens next

The vendor becomes available in Pricebook item forms and the Create Purchase Order drawer. Purchase-order emails can use its saved email as the recipient.

Troubleshooting

The vendor is missing from a selector

Set All Statuses to Archived and restore the vendor if appropriate. Close and reopen the selector after saving.

Purchase-order email has no recipient

Edit the vendor and add a valid email, or choose Custom Email in the send window.

Two records exist for the same supplier

Choose the record linked to current items and purchase orders. Update its information, then archive the unused duplicate.
