Manage staff assignments and security

Business unit assignments determine where staff belong, while profile and security settings control whether they can be scheduled and how administrators can help them sign in. Keep these settings current whenever a person changes team, trade, or responsibility.
Before you begin
Create and review Business Units first. Decide which unit is primary for the staff member and whether a technician should be available for dispatch.
Open the staff profile
Go to Settings → People → Staff.
- Search for the staff member.
- Open the three-dot Actions menu.
- Select Edit staff.
- Review Basic Information, Roles & Permissions, Business Unit Assignments, Technician Details, and Security.
Use the profile tabs to keep a person's role, assignments, and dispatch status aligned.
Assign business units
- Open Business Unit Assignments.
- Select each unit the staff member works with.
- Choose the Primary Business Unit.
- Remove units the person no longer needs.
- Click Update Staff Member.
The primary unit should match the person's normal work. Additional units are useful for shared dispatchers, managers, or technicians who regularly cross teams.
Set technician availability
- Open Basic Information.
- Confirm the staff type includes Technician.
- Turn Available for Dispatch on when the technician should appear for assignment.
- Open Technician Details and review specialties, certifications, and service areas.
- Save the profile.
- Review Shifts so availability also has the correct working hours.
Help a staff member sign in
From the three-dot Actions menu:
- Choose Send reset link when the person can receive email and set a new password.
- Choose Set temp password only when your role allows it and the person needs immediate access.
- Choose Activate account for a staff profile marked No User Account, then review and confirm the activation window.
- Use a secure method to share any temporary sign-in information.
- Ask the staff member to update their password after signing in.
The security actions shown depend on your own role and the staff member's account state.
Deactivate access safely
- Edit the staff member.
- Turn off Active Staff Member.
- Review assigned work, shifts, and approvals that need reassignment.
- Save the profile.
- Use Inactive Only in Staff Management to verify the person moved out of the active list.
What happens next
Business unit and dispatch changes affect where the staff member appears in booking, dispatch, projects, time tracking, payroll, and filtered reports. Security actions help the existing staff profile regain access without creating a duplicate.
Troubleshooting
A business unit is not available
Open Business Units and confirm the unit is active. Return to the staff profile, refresh the page, and open Business Unit Assignments again.
A technician still does not appear in Dispatch
Confirm the profile is active, includes Technician, has Available for Dispatch on, belongs to the job's business unit, and has a current shift.
The expected security action is missing
Your role may not allow that action, or the staff profile may be in a different account state. Ask an administrator to review roles and permissions.
