Manage the chart of accounts

Purpose and common uses

The Chart defines how your company organizes assets, liabilities, equity, revenue, and expenses. Maintain it carefully because Pricebook items and accounting workflows can use these accounts.

Before you begin

Confirm the account number, name, type, subtype, normal balance, parent, tax mapping, and purpose with the person responsible for your books. Avoid duplicating an existing system or company account.

Find an account

  1. Click Accounting.
  2. In the Accounting sidebar, click Chart.
  3. Review the summary for Assets, Liabilities, Equity, Revenue, and Expenses.
  4. Select Account Type or use Search accounts....
  5. Expand an account group to review its child accounts and balances.

Search by account number or name before creating a new account.

Create an account

  1. Click New Account.
  2. Enter Account Number and Account Name.
  3. Choose Account Type and Subtype.
  4. Add a clear Description.
  5. Select Normal Balance.
  6. Choose a Parent Account when the account belongs in an existing group.
  7. Enter Tax Line Mapping when your accounting process requires it.
  8. Turn on Active Account.
  9. Click Create Account.
  10. Find the account in its group and confirm the hierarchy.

The parent account controls where the new account appears in the accounting structure.

Edit an account

Open the account action and choose edit. System-account number, type, or normal balance may be protected. Update allowed fields, then click Update Account. Deactivate an account instead of repurposing it when history must retain its meaning.

What happens next

Active accounts become available in supported Pricebook and accounting assignment controls. Review invoice, item, vendor-bill, and tax workflows after changing account organization.

Troubleshooting

An account cannot be edited

System accounts protect key fields. Create a suitable child account or update only the allowed fields.

A new account is not available for assignment

Confirm Active Account is on, save it, and reopen the assignment selector.

The account appears in the wrong group

Edit its type, subtype, or parent when allowed. Confirm the normal balance still matches the account's purpose.
