Review and pay vendor bills

Purpose and common uses
Vendor bills capture money owed for purchases. Bills can be created from purchase-order receipts or during accounts-payable review. Use this page to find open balances and post approved payments.
Before you begin
Confirm the physical receipt, vendor, bill number, purchase order, due date, total, prior payments, payment method, payment date, and approval.
Find and review bills
- Click Accounting.
- In the Accounting sidebar, click Vendor Bills.
- Choose All statuses, Open, Partially paid, Paid, Draft, or Void.
- Use Search vendor, PO, bill number....
- Review Bill, due date, Vendor, PO, Status, and Balance.
- Open the related purchase order when you need to compare received items and totals.
Match the bill to the purchase-order receipt before selecting it for payment.
Post payment
- Select one or more approved bills. Paid and void bills cannot be selected.
- Under Pay Selected Bills, review the selected count and total.
- Choose Payment method.
- Enter Payment date.
- Enter Reference.
- Add a Note.
- Click Post Payment.
- Refresh and confirm each selected bill shows the correct remaining balance and status.
Post one batch only when the selected bills share the intended payment details.
What happens next
The payment reduces each bill's balance. Fully paid bills move to Paid; partial payments remain available under Partially paid.
Troubleshooting
No vendor bills are listed
Clear search and choose All statuses. Confirm the related purchase order was received or that the bill was created during AP review.
Post Payment is disabled
Select at least one open or partially paid bill and choose a payment method.
The bill amount does not match the delivery
Return to the purchase order receipt and compare received quantity, unit cost, tax, shipping, discounts, and prior receipts before posting payment.
