Manage Pricebook equipment

Purpose and common uses

Equipment records represent major products your company sells or installs. Configure cost, standard and member pricing, category, tax treatment, and supplier details before using equipment on proposals or invoices.

Before you begin

Gather the equipment code, model or identifying description, cost, sell price, member price, category, vendor details, and warranty information your team needs.

  1. Click Pricebook.
  2. Click Equipment.
  3. Search by name or code and check the category and status filters.

Use one equipment record for each item that needs its own price and description.

Create or edit equipment

  1. Click Add Equipment or choose Actions → Add Equipment.
  2. Enter the code, name, and description.
  3. Assign categories and set the record to active.
  4. Enter cost, standard price, and member price when applicable.
  5. Select the vendor and complete model, manufacturer, or warranty fields that appear.
  6. Set tax and account choices.
  7. Save the equipment record.

Review the displayed description and each price before making the item available to the team.

Use the row action menu to view or edit, duplicate, archive, or restore equipment. For multiple records, select the rows and use Adjust Pricing, Update GL Accounts, Assign Categories, or the taxable and status actions.

What happens next

Active equipment appears in the Equipment section of estimates, invoices, assemblies, and purchase orders. To track on-hand quantity, create or edit an Inventory Item and choose Link Source → Equipment.

Troubleshooting

Member price is not used

Confirm the equipment has a member price and that the customer has an eligible active membership. Review the line item before sending the document.

Equipment appears twice

Search by both code and name. Archive the duplicate only after confirming which record is already used on documents and linked to inventory.

The equipment is not available in Inventory

Pricebook records are not linked automatically. Open Inventory Items, create or edit the item, and select the equipment record under Link to Pricebook.
