Manage job appointments

A job can have one visit or several. Use Scheduling & Appointments to keep each visit’s date, arrival window, planned time, duration, technician assignment, status, and instructions accurate.

Common uses

  • Add a return visit to an existing job.
  • Review or edit one appointment without changing the job’s other visits.

Before you begin

Open the correct job and know whether you are updating an existing visit or adding another one. Compare appointment dates carefully when the job has multiple visits.

Open and review existing appointments

  1. Open Operations → Jobs.
  2. Select the Job ID.
  3. Scroll to Scheduling & Appointments.
  4. Review each appointment’s status, date, arrival window, expected duration, assigned technicians, and special instructions.

Each appointment belongs to the same job but keeps its own schedule, assignment, and status.

Add an appointment

  1. Select Add Appointment.
  2. Choose the appointment date.
  3. Select the Arrival Window.
  4. Enter start and end times or the expected duration.
  5. Select at least one technician when an assignment is known.
  6. Add Special Instructions for that visit.
  7. Create the appointment.

Edit an appointment

  1. Select the pencil on the intended appointment.
  2. Review the appointment date at the top of Edit Appointment.
  3. Update only the fields that changed.
  4. Select Save Changes.
  5. Review the appointment card to confirm the result.

The same editor supports rescheduling, reassignment, status changes, and visit-specific instructions.

The appointment menu may also provide actions to reschedule, reassign, dispatch, update work status, or send a booking confirmation. For a focused walkthrough, see Reschedule an appointment or Reassign technicians.

What happens next

The updated visit appears on the job and in the scheduling and dispatch workspaces for its date. Other appointments on the job remain unchanged.

Troubleshooting

Add Appointment cannot be completed

Confirm the date, times, duration, and any required technician selection. Make sure the end time is later than the start time.

You edited the wrong visit

Open that appointment again and restore its details, then compare the date and arrival window before editing the intended appointment.

A technician is not available

Check the technician’s shift, business unit, and existing work. Choose another technician or coordinate a different time.
