Add job notes and instructions

Use Job Summary for context that applies to the entire job. Use Special Instructions for details tied to one appointment, such as access directions or a visit-specific request.
Common uses
- Add scope or handoff context for the whole job.
- Give a technician access directions or other visit-specific instructions.
Before you begin
Decide whether the information belongs to the whole job or one scheduled visit. Avoid placing payment details or other sensitive information in a general note.
Open the job and add to Job Summary
- Open Operations → Jobs.
- Select the job’s Job ID.
- Find Job Summary below the header.
- Select the pencil in the card.
- Enter the information the team needs.
- Select Save.
Use Job Summary for scope, handoff context, or information that should remain visible throughout the job.
Add Special Instructions
- Scroll to Scheduling & Appointments.
- Identify the correct appointment by date and assignment.
- Select its pencil.
- Enter the visit details under Special Instructions.
- Select Save Changes.
Special Instructions stay with the selected appointment, which is useful when different visits need different directions.
What happens next
The summary appears on the job. Appointment instructions remain with the selected visit and are available wherever that appointment is reviewed.
Troubleshooting
The edit control is missing
Your role may not allow edits. Ask a manager to review your access or update the note.
The note appears on the wrong visit
Open the appointment that received it, correct the instructions, and then add the information to the intended appointment.
A saved note is not visible
Confirm you selected Save or Save Changes, refresh the job, and verify you are viewing the correct section.
