Add notes to a job

Keep the team informed by adding general context to Job Summary or visit-specific details to Special Instructions.

Before you begin

Choose where the note belongs:

  • Use Job Summary for information that applies to the entire job, such as scope details or an office handoff.
  • Use Special Instructions for information tied to one appointment, such as arrival directions for that visit.

Add to the job summary

  1. Click Jobs.
  2. Find the job and click its Job ID.
  3. Find Job Summary below the job header.
  4. Click the pencil in the Job Summary card.
  5. Enter the information the team needs.
  6. Click Save.

Use Job Summary for context that should remain visible with the job.

Click Cancel if you do not want to keep the changes.

Add instructions to an appointment

  1. In the same job, scroll to Scheduling & Appointments.
  2. Find the appointment the instructions apply to.
  3. Click the appointment pencil to open Edit Appointment.
  4. Enter the visit details under Special Instructions.
  5. Click Save Changes.

Appointment instructions stay with the selected visit.

What happens next

The updated summary appears in the Job Summary card. Appointment instructions appear with the selected appointment so the team can review them with its date, time, and assignment.

Troubleshooting

The Job Summary pencil is missing

Your role may not allow you to edit the summary. Ask a manager to review your access or add the note for you.

The note applies to a different appointment

Click Cancel, then compare the appointment dates and open the correct visit before adding Special Instructions.

The note did not save

Reopen the section and confirm the text appears. If it does not, enter the note again and use Save for the summary or Save Changes for the appointment.
