Manage staff shifts

Use Shifts to show when technicians and office staff are scheduled, on call, or unavailable. Accurate shifts make booking availability and Dispatch easier to trust.

Common uses

  • Create repeating work schedules for a date range.
  • Record on-call coverage or time off and filter the calendar by team.

Before you begin

Staff members must be active and assigned to the appropriate Business Units. Have the date range, work times, days of the week, shift type, and staff list ready.

Open Shifts and review the schedule

  1. Open Operations → Shifts.
  2. Use the calendar controls to move to the date or range you need.
  3. In Filters, choose All staff, Technicians, or Office.
  4. Select All business units or one business unit.
  5. Show or hide the available Shift types.
  6. Select a shift on the calendar to review or edit it.

The filters change what you see; they do not delete or reassign shifts.

Create shifts

  1. Select Create shifts.
  2. Set the Date range, Start time, and End time.
  3. Choose Shift type: Scheduled, On Call, or Time Off.
  4. Select Staff type.
  5. Choose a Business unit when you need to narrow the staff list.
  6. Select the applicable Days of week.
  7. Select each staff member who should receive the shift.
  8. Select Create shifts.

A date range and days-of-week selection can create a repeating shift pattern in one action.

Edit or remove shifts

  1. Select a shift on the calendar.
  2. In Edit shift, update Start time, End time, or Shift type.
  3. Select Save changes.
  4. To remove that one shift, select Delete and confirm.

Use Delete shifts from the schedule header only when you need to remove shifts across a date range. Review its dates, days, types, business unit, and selected staff before confirming.

What happens next

Saved shifts update the schedule and can be considered during booking, assignment, capacity review, and route planning.

Troubleshooting

A staff member is missing

Clear the staff-type and business-unit filters. If the person is still missing, ask a manager to confirm the person is active and correctly configured in Staff.

A shift does not appear

Check the calendar date, Staff type, Business unit, and Shift types filters.

Create shifts is unavailable

Confirm your role can manage shifts and at least one staff member is selected.
