Accept an estimate and convert it to a job

Purpose and common uses

When the customer approves the work, mark the estimate accepted and convert it into a new job or add it to an existing job. Conversion keeps the approved scope connected to the operational work.

Before you begin

Confirm the customer approved this exact estimate, including the scope and total. Have the salesperson, job type, business unit, campaign, schedule, arrival window, and technician assignment ready.

Open and mark the estimate accepted

  1. Click Estimates and open the approved estimate.
  2. Click Mark as Accepted.
  3. In Mark Estimate as Sold, select who sold the estimate.
  4. Confirm the accepted information.
  5. Verify the status now shows accepted.

Record acceptance only after confirming the customer approved the displayed proposal.

Convert the estimate

  1. Open the three-dot menu and click Convert to Job, or use Quick Actions → Convert to Job.
  2. Choose Create new job or Add to existing job.
  3. For an existing job, select the customer's open job.
  4. For a new job, select Job Type, Business Unit, Marketing Campaign, and Lead Source as applicable.
  5. Assign a technician.
  6. Set the appointment date, time, duration, and Arrival Window.
  7. Review special instructions and other job details.
  8. Confirm the notice that estimate items will transfer to the job invoice.
  9. Complete the conversion.
  10. Click the displayed Job # to review the resulting job.

Choose an existing job only when the approved work belongs on that open job.

What happens next

The estimate shows Job Created and links to the job. The approved items are available for job billing; review the resulting invoice before sending it.

Troubleshooting

Convert to Job is disabled

The estimate may already be converted. Look for Job Created in the header and open the linked job.

No open jobs are available

Choose Create new job, then complete the required Job Type, Business Unit, campaign, and scheduling fields.

A required selection is empty

Confirm the applicable configuration is active and available for the selected customer or business unit. Close the conversion window only if you need to update configuration first.
