Add estimate line items and tax
Last updated July 23, 2026
Purpose and common uses
Build the proposed scope in Line Items. Estimates can include services, assemblies, materials, equipment, discounts or fees, and memberships from your Pricebook.
Before you begin
Open the estimate and confirm the customer and service location. Verify the needed Pricebook records are active, and confirm the tax rate your company should use.
Navigate to Line Items
- Click Estimates.
- Open the estimate number.
- On Details, scroll to Line Items.
Use Add Item to choose the kind of Pricebook record you want to add.
Add and edit items
- Click Add Item.
- Choose Service, Assembly, Material, Equipment, Discount / Fee, or Membership.
- Search for the record and select it.
- Review the description, quantity, cost, and price.
- Edit values when the estimate requires an approved adjustment.
- Save the item.
- Repeat for each section of the proposal.
- Use the line's action controls to edit or remove an item.
Use the selection controls when several items need the same pricing adjustment or display change. Materials and equipment can be shown or hidden from the customer-facing presentation without removing their cost from the estimate.
Set the tax rate
- Review which line items show as Taxable.
- In the totals area, click the edit control beside Tax.
- Enter the percentage.
- Save the rate.
- Confirm the tax amount and Total.
Check subtotal, cost, estimated profit, tax, and total after every pricing change.
What happens next
The estimate saves its own copy of the selected items and prices. Preview the estimate to confirm descriptions and customer-visible detail before sending.
Troubleshooting
An item cannot be found
Confirm it is active in the correct Pricebook tab. Search by both name and code, and verify you chose the correct item type.
The total did not change as expected
Review quantity, price, discount or fee sign, tax status, and the document tax rate. Expand each line-item section to find an unexpected item.
Profit looks wrong
Check the saved cost on services, materials, and equipment, then review any manual cost entered on the estimate.
