Duplicate and follow up on an estimate

Purpose and common uses

Reuse a proposal when a customer needs a variation, and keep follow-up history on the estimate so the next person knows what happened and when to contact the customer again.

Before you begin

Open the source estimate and confirm it is the correct version. Do not change the original when the customer needs a separate option or a proposal for different work.

Open and duplicate or reuse an estimate

  1. Click Estimates and open the estimate.
  2. In Quick Actions, click Duplicate Estimate, or open the three-dot menu and choose Duplicate.
  3. Wait for the copied estimate to open.
  4. Change its name and summary so it is clearly different from the source.
  5. Review the customer, location, line items, prices, tax, expiration date, and cover photo.
  6. Preview the copy before sending.

If your workspace uses Use as template for reuse, choose Use as temporary template, select the destination customer and location, and complete the required work details.

Duplicate creates a separate proposal; Send Follow-up contacts the customer from the current estimate.

Follow up and review communications

  1. Click Send Follow-up in Quick Actions.
  2. Choose email or SMS, select the recipient, and enter a brief message.
  3. Send the follow-up.
  4. Open the Communications tab.
  5. Review Follow-up communications for calls, messages, email touches, notes, and any Next date.
  6. Open a linked recording or transcript when available and appropriate for your role.
  7. Use the Activity tab to confirm the estimate event was recorded.

The communications timeline helps the team continue the conversation without repeating prior outreach.

What happens next

Continue follow-up until the customer declines, requests a revision, or accepts. When approved, mark the estimate accepted and convert it.

Troubleshooting

Duplicate does not open a copy

Wait for the estimate to finish loading, then try the header action menu. If reuse is handled through templates in your workspace, use Use as template → Use as temporary template.

No follow-ups appear

Confirm you are on the correct estimate and that the message finished sending. Refresh the page, then reopen Communications.

The recipient is missing

Add or correct the email or phone on the customer or service location, or use a custom recipient in the send window.
