Update appointment status
Last updated July 23, 2026
Appointment status tells the office where an individual visit stands. Keep it current so Dispatch and the job workspace show the same stage of work.
Common uses
- Record when a visit moves from scheduled to active work.
- Mark one appointment complete while later visits remain open.
Before you begin
Status belongs to an appointment, not automatically to the whole job. When a job has multiple visits, verify the date and technicians before updating one.
Open Edit Appointment
- Open Operations → Jobs.
- Select the job’s Job ID.
- Scroll to Scheduling & Appointments.
- Find the intended appointment.
- Select its pencil.
Use the appointment date and assignment to identify the correct visit.
Change the status
- Open Appointment Status.
- Select the status that matches the current stage.
- Review the date, time, assignment, and instructions.
- Select Save Changes.
- Confirm the new status on the appointment card.
Only select a completed status when that visit’s work is actually finished.
Complete the full job
Updating one visit does not necessarily close the job. After all visits and office follow-up are finished, follow Complete a job.
What happens next
The status appears on the appointment and in Dispatch. Other visits on the same job keep their own statuses.
Troubleshooting
The status you need is not listed
Confirm the current status and that you opened the correct visit. Some transitions may not be available from every stage or to every role.
The job is still open
Appointment status and overall job completion are separate. Review all visits, billing, notes, and forms, then use Complete Job.
You updated the wrong appointment
Reopen that visit, restore its correct status, and then update the intended appointment.
