Organize Pricebook categories

Purpose and common uses
Categories make a large Pricebook easier to search and maintain. Create parent and child categories that match how your team finds work, such as Cooling → Repairs or Water Heaters → Installation.
Before you begin
Sketch the hierarchy first. Keep names customer-friendly when they may appear in a proposal, and avoid creating two categories with nearly identical meanings.
Navigate to Categories
- Click Pricebook in the main navigation.
- Click the Categories tab.
- Review the category tree before adding another branch.
The tree shows which categories are top-level and which are nested below another category.
Create a category
- Click Add Category. You can also open Actions and choose Add Category.
- Enter the category name and description.
- Choose a parent category when this should be a child category.
- Set the category's active status and any available display settings.
- Click the save button.
- Expand the parent in the tree and confirm the new category appears in the correct place.
Edit the hierarchy
- Find the category in the tree.
- Open its action menu and choose the edit action.
- Change its name, description, parent, or status.
- Save the changes.
- Open the Services, Materials, Equipment, or Assemblies tab and use All Categories to confirm the filter returns the expected records.
Select a parent only when the category should appear below another category.
To assign a category to several records, select them in their Pricebook tab and choose Assign Categories. Review the selection before applying a replacement or adding categories.
What happens next
Assigned categories become filters throughout Pricebook and help your team find the right item while building estimates and invoices.
Troubleshooting
The category does not appear in a filter
Confirm the category is active, then click Refresh. A category may not be useful in a list until at least one record is assigned to it.
Items appear under the wrong branch
Edit the category and verify its parent. Then review the affected records; moving a category moves the category branch but does not replace other category assignments.
A category cannot be removed
Reassign its items and child categories first. Archiving is safer when the category has historical use.
